Office Coordinator - Domestic Violence Legal Service - Legal Aid NT

  • $93,674 – $98,332 plus Superannuation (salary packaging options available)

Objective:

Under the supervision of the Managing Solicitor, manage, coordinate and supervise the provision of administrative services, including the day to day administrative operations of the DVLS office.

Key Duties and Responsibilities:

  1. Supervise the day-to-day administration and management of the DVLS office, including the supervision and mentoring of administrative staff.
  2. Provide high level administrative and secretarial support to Solicitors and the Safety Wellbeing Coordinator, including preparing high quality legal and court documents and undertake administrative tasks on files.
  3. Conduct conflict checks and coordinate client intake, triage and appointment processes, including assessing risk, urgency and court related priorities, arranging interpreters where required, and identifying and escalating potential high risk or urgent matters to the Managing Solicitor.
  4. Make referrals and appointments with appropriate stakeholders and agencies, including the Safety Wellbeing Coordinator, shelters, police and other legal services.
  5. Provide short-term, low risk safety planning with clients as required.
  6. Maintain effective file, diary and data management systems, administrative procedures and quality assurance procedures.
  7. Provide assistance to lawyers with client liaison and collaborate with other stakeholders to assist with client engagement.
  8. Assist people seeking information, support, referrals, legal advice or legal assistance in relation to domestic violence and associated matters.
  9. Support the Managing Solicitor to ensure that DVLS services are adaptable and meet the needs of clients from diverse cultures, communities and circumstances, particularly Aboriginal and Torres Strait Islander clients and those from culturally and linguistically diverse (CALD) communities.
  10. Supervise and coordinate building maintenance works as required.
  11. Undertake other duties as reasonably required, including providing administrative support or relief to other sections as needed.

Selection Criteria

Essential:

  1. High level administrative and secretarial skills, including attention to detail and the ability maintain confidentiality, problem solve and discern sensitive issues
  2. Demonstrated experience in the management of administrative staff.
  3. Demonstrated proficiency in a variety of computer packages with a high level of attention to detail and accuracy in data entry.
  4. Ability to take appropriate action to maintain and improve service delivery whilst reviewing and ensuring compliance with policies and procedures.
  5. Demonstrated knowledge of dynamics of domestic and family violence and the ability to respond effectively to clients affected by domestic violence and trauma.
  6. High level adaptability, flexibility and resilience and demonstrated ability to work independently and within a team in a fast-paced environment, with effective time management skills and the ability to organise and prioritise workloads and meet competing deadlines.
  7. Proven ability to communicate, liaise and network effectively with individuals and groups, as well as professionals and representatives from relevant government and non-government areas.
  8. High level interpersonal, oral and written communication skills including conflict management skills and an ability to communicate with vulnerable people from diverse backgrounds, including culturally and linguistically diverse and Aboriginal and Torres Strait Islander people.
  9. Commitment to legal aid values and an understanding of Northern Territory justice issues and the legal assistance sector.
